This notice explains what NeuroCapture does with your information. Please read it alongside the terms of use and the AI usage policy

1. Who we are

NeuroCapture is provided by Potential Minds, based in the United Kingdom. For data protection purposes we are the controller of the personal information described here. You can reach us at info@potentialminds.co.uk.

2. What we collect

• Account details — your first name, email address and an encrypted password, plus the consents you gave and when.

• Voice recordings — only the audio you record by tapping the capture button.

• Transcripts and tasks — the text produced from your recordings, along with the tasks, steps, deadlines, priorities and notes created from them.

• Reminders and device tokens — the times you asked to be nudged and, if you switch on lock-screen reminders, an anonymous push subscription for that device.

• Basic app activity — limited technical and audit records needed to run the service, keep it secure and fix faults.

We do not ask for special category data. Please avoid capturing other people's personal or confidential information.

3. Why we use it, and our lawful basis

• To provide the app — creating your account, storing your captures and showing your plan back to you. Lawful basis: performance of our contract with you.

• To transcribe recordings and generate suggestions using AI. Lawful basis: your consent, given at sign-up and withdrawable at any time.

• To send the reminders and nudges you set up. Lawful basis: performance of our contract and, for lock-screen notifications, your consent.

• To keep the service secure, prevent abuse and meet legal obligations. Lawful basis: our legitimate interests and legal obligation.

4. AI processing

Recordings and transcripts are sent to our AI providers so they can be turned into text and organised into tasks. Content is processed only to return a result to you. We do not sell your content and we do not allow it to be used to train third-party AI models. Full detail is in the AI usage policy. If you withdraw AI consent, transcription and suggestions stop; existing content stays until you delete it.

5. How long we keep things

• Audio recordings are deleted automatically about 24 hours after processing, unless you choose otherwise in your settings.

• Transcripts, tasks and reminders are kept until you delete them or close your account.

• Account and consent records are removed when you delete your account; a minimal record may be retained where the law requires it.

6. Where your data is stored and how it is protected

Your data is held in managed cloud infrastructure with encryption in transit and at rest. Recordings sit in private storage that only your account can reach, and database access is restricted per user. Some providers, including our AI providers, may process data outside the UK; where that happens we rely on appropriate safeguards such as standard contractual clauses.

7. Sharing

We do not sell your data or share it for advertising. We share it only with the service providers that run the app for us — hosting, database and storage, AI transcription and suggestion services, email delivery and push notification delivery — and with anyone we are legally required to disclose it to.

8. Your rights

Under UK data protection law you can ask for a copy of your data, correct it, delete it, restrict or object to how we use it, and withdraw any consent you gave. You can do most of this yourself: export everything or permanently delete your account from Your data and consents. Otherwise email us and we will respond within one month.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk, though we would appreciate the chance to put things right first.

9. Children

You must be at least 16 years old to create an account. If you believe a younger child has an account, contact us and we will remove it.

11. Changes to this notice

If we make a significant change we will tell you in the app and, where appropriate, ask for your consent again. Policy version 2026-09-11 is recorded against every consent you give. App version 0.1.0.
